I'm Laura Meyer, the founder of JoyBrand Creative – a consulting company with a big mission. We're passionate about using AI and emotionally intelligent marketing to create positive change for beauty, health and wellness organizations. Our business podcast has won acclaim, our clients and partners are household names, and now I’m on a hunt for a fantastic Executive Assistant who can grow with our organization and be my go-to resource for helping to make things happen.

The Executive Assistant Role Involves three main activities:

  • Quickly and efficiently scheduling meetings and sales calls as leads come in. Keeping track of the sales pipeline and assisting with follow-up.  Being on top of scheduling and calendar management. 

  • Being the first line of defense for my schedule and to-do list - helping to ensure that things move seamlessly to free me up to which includes but isn’t limited to booking travel, scheduling communication, checking and responding to emails, confirming appointments, sourcing photos for interviews, etc.

  • Proactively handling the random things that come across a CEO’s desk.  Ranging from vendor follow-up and oversight to social media inbox management.

To excel in this role, you must be adept at balancing the big picture with the details. You’re someone who goes above and beyond, reacting to situations quickly while also proactively anticipating and addressing them beforehand. You have a passion for sales and marketing coordination and enjoy those activities as much as you do your admin responsibilities, and have excellent written communication skills.

To be successful in this role, you should have a track record of building strong relationships based on trust and confidentiality. You understand the importance of maintaining professionalism, getting back to people quickly, and reliability in handling all responsibilities. Your ability to handle tasks efficiently and independently is crucial, allowing me peace of mind, knowing that everything is taken care of without my continual involvement.

Overall, I am seeking an Executive Assistant who understands my vision and goals for JoyBrand Creative. Key Responsibilities

  • Manage sales pipeline and oversee all processes, including but not limited to making changes to the pipeline, updating automations, and following up with leads to schedule an appointment. Help move interested prospects throughout the stages of the customer journey.

  • Monitoring and responding to emails in Laura's inbox, filtering and prioritizing messages to ensure important communications are addressed promptly. Be the primary point of contact for those looking to contact the CEO. Inbox oversight for social media channels as well as various company email inboxes.

  • Scheduling client appointments based on availability and specific requirements, coordinating with clients to find suitable meeting times.

  • Checking meetings and links to ensure all scheduled meetings are confirmed and the necessary links or resources are provided.

  • Oversight of projects in Asana, including but not limited to coordinating the creation of case studies and content with our vendors to support the growth of the consulting business.

  • Managing Laura's calendar by scheduling appointments, blocking out time for important tasks, and ensuring all commitments are properly organized.

  • Communicate with clients gather and deliver information between internal teams and clients. Responding to Slack messages and requests from team members, providing timely assistance and support.

  • Attendance on staff meeting calls, taking notes and following up with action items and update the weekly scorecard to track and measure key performance indicators and progress.

  • Coordinate various sales and marketing projects with our external partners. Edit and proofread external communications.

  • Comfortable with learning technology tools including AI tools and staying current with updates.

  • Owner of consulting admin-related SOP processes and ensure they are constantly updated or assigned to a team member with clear outcomes and deliverables. 

  • Handling invoice and bill payments received, ensuring timely and accurate payment processing.

  • Purchasing flights, hotels, and rental cars when required for business trips or events.

Preferred Skills and Experience

  • Strong technical background and familiarity with digital marketing products, launches, platforms, and tools built for the online marketing industry - landing page builders, email service providers, CRMs, and/or course hosting platforms.  Ideally salesforce or pipedrive - Highlevel is a huge plus.

  • Outstanding writing and communication skills.

  • Core understanding and familiarity with service delivery either in a coaching, consulting, or agency environment. 

  • Experience with remote teams - including vendors, customers and colleagues. 

  • Located in North America with reliable internet access and consistently available hours M-F.

  • Advanced skills in Asana, Google Drive, Kajabi and Slack along with familiarity with online learning management systems.

Compensation Range

  • Starting salary is budgeted at $40/hr for the remainder of 2023 at 20 hrs/week. Hours are flexible but must take place during daytime, weekday North American hours. Room for compensation increase in the next 12-24 months. Weekly staff meeting currently takes place on Monday at 3PM ET.

  • I am looking for someone who has minimal work responsibilities outside this role and would have the capacity to increase hours over time.
